Room Rep Resources

Thank you for volunteering as an MST Room Rep! This page is your go-to resource for important dates, classroom party planning, helpful templates, and everything you need to support your classroom throughout the school year.

Remember, you're a coordinator, not a one-person party-planning committee! Work with your fellow Room Reps, recruit other families to help, and don't hesitate to reach out with questions.

Getting Started

New to the Room Rep role? Start here!

  1. Connect with your Room Rep Coordinator. Email Dana Maldonado at roomreps@mstpta.org with your phone number so you can be added to the Room Rep GroupMe.

  2. Connect with your teacher and fellow Room Reps. Introduce yourself, exchange contact information, and learn about your teacher's preferences and classroom needs.

  3. Complete your volunteer registration here. Anyone volunteering on an RISD campus must complete the Volunteer Registration process here. Note: approval can take up to 5 days so this is best done in advance.

  4. Introduce yourself to classroom families. Work with your fellow Room Rep to prepare an introduction for your teacher to share with families, following PTA approval.

  5. Start building your volunteer team! Encourage other families to help with party planning, supplies, activities, and other classroom needs.

Classroom Party Planning

Working Together Across Your Grade

Room Reps work together across their grade level to plan and coordinate classroom parties. This helps ensure that all students in the same grade enjoy a consistent, equally fun celebration, regardless of their classroom.

You'll collaborate on activities, supplies, and budgets while coordinating with individual teachers to accommodate classroom needs and preferences.

Party Funds & Budgets

Class party funds are collected by grade level, and party budgets are divided evenly among classrooms within each grade. The amount available depends on the funds raised and how much the grade allocates to each celebration. Any unused funds roll forward with the grade to the following school year.

Room Reps should coordinate purchases with their grade-level coordinator, if applicable, or the Room Rep Coordinator to stay within their allotted budget.

Reimbursements

Families purchasing approved party supplies can request reimbursement through the PTA.

  • Save and submit a receipt for all purchases. Digital receipts and photos are accepted.

  • Sales tax cannot be reimbursed.

  • Complete the PTA reimbursement form and submit it to Alexis according to the reimbursement instructions.
